1. How we use your information
This privacy notice tells you what to expect when the NATIONAL ASSOCIATION OF TELEVISION PROGRAM EXECUTIVES, INC. (“NATPE” or “we” or “us” or “our”) collects your personal information. It applies to information we collect to connect members of the content industry throughout the Professional Television/Entertainment Industry:
• visitors to our websites and affiliated NATPE web pages hosted elsewhere on the internet.
• surveys on our websites and affiliated NATPE web pages hosted elsewhere on the internet.
• complainants and other individuals in relation to a data protection or data subject’s complaint or enquiry under the General data Protection regulation (GDPR);
• people who use our services, e.g. create a user account, register for a membership, program, conference and/or exhibition, order a product or service, submit content and/or post content in discussion forums or other public areas, enter a contest or sweepstakes, fill out a survey, or send us feedback);
• job applicants and our current and former employees.
2. Visitors to our websites
Because an essential function of our website is performing customized matches and business searches largely based upon the information you consent to our use of any information you provide to us for this purpose. Please read the information below to learn what types of information we are collecting and what may happen to that information you input to and through our website and affiliated NATPE web pages hosted elsewhere on the internet.
When someone visits www.natpe.org we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behavior patterns. We do this to find out things such as the number of visitors to the various parts of our website. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. When we collect personally identifiable information through our website, we are up front about this. We make it clear when we collect personal information and explain what we intend to do with it.
A. Personally Identifiable Information
This refers to information that lets us know the specifics of who you are. When you engage in certain activities on this site, such as creating a user account, registering for a membership, program, conference and/or exhibition, ordering a product or service, submitting content and/or posting content in discussion forums or other public areas, entering a contest or sweepstakes, filling out a survey, or sending us feedback, we may ask you to provide certain information about yourself by filling out and submitting an online form.
It is completely optional for you to engage in these activities. If you elect to engage in these activities, however, we may ask that you provide us personal information, such as your first and last name, mailing address (including zip code), email address, website, employer, job title and department, telephone and facsimile numbers, and other personal identifying information.
When ordering products or services or registering for a membership, program, conference or exhibition on our website and affiliated NATPE web pages hosted elsewhere on the internet, you may be asked to provide a credit card number. Depending upon the activity, some of the information we ask you to provide is identified as mandatory and some as voluntary. If you do not provide the mandatory data with respect to a particular activity, you will not be able to engage in that activity because we need that information to provide you the activities you required.
B. Nonpersonally Identifiable Information
This refers to information that does not by itself identify you specifically. We gather certain information about you based upon where you visit on our website and affiliated NATPE web pages hosted elsewhere on the internet, in several ways. This information is compiled and analyzed on both a personal and an aggregated basis. This information may include the Website’s Uniform Resource Locator (“URL”) that you just came from, which URL you next go to, what browser you are using, and your Internet Protocol (“IP”) address.
A URL is the global address of documents and other resources on the World Wide Web. An IP address is an identifier for a computer or device on a Transmission Control Protocol/Internet Protocol (“TCP/IP”) network, such as the World Wide Web. Networks like the Web use the TCP/IP protocol to route information based on the IP address of the destination.
In other words, an IP address is a number that is automatically assigned to your computer whenever you are surfing the web, allowing web servers to locate and identify your computer. Computers require IP addresses in order for users to communicate on the Internet.
The following are example of Nonpersonally Identifiable Information we collect:
i. Email open and click-through — We collect information about whether you have opened email messages from us and/or clicked on links in those emails. This helps us evaluate the relevance of the content in our communications.
ii. Visits to shortcut website addresses—Some published website addresses are shortcuts that redirect you to a page with a longer address. When a redirect is initiated, we log the shortcut website address, date, time, and IP address.
iii. Log-ins and attempted log-ins—When you create a user account, log in, log out, or attempt to log in with invalid credentials, we record the date, time, your user ID (if you are logged in), IP address, the website address (URL) you accessed, web browser type, and a description of the event, which would include the email address you registered your account with.
3. Collection Methods and Use of Information
We do not collect any Personally Identifiable Information about you unless you voluntarily provide it to us. You provide certain Personally Identifiable Information to us when you:
(a) register for our Services;
(b) enter contests sponsored by us or one of our partners;
(c) sign up for special offers from us or our Affiliates;
(d) send email messages, submit forms or transmit other information through any means to us;
(e) use our website and affiliated NATPE web pages hosted elsewhere on the internet to send messages to other Users;
(f) submit your credit card or other payment information when ordering and purchasing our Services on our website and affiliated NATPE web pages hosted elsewhere on the internet. We may also collect information from you at other points on our website that state that such information is being collected.
We have to hold the details of the people who have requested our service in order to provide it. However, we only use these details to provide the service the person has requested and for other closely related purposes. For example, we might use information about people who have registered to one of our events to carry out a survey to find out if they are happy with the level of service they received. When people do subscribe to our services, they can cancel their subscription at any time and are given an easy way of doing this.
We use your Personally Identifiable Information to provide our Services to you, as required by our agreements with you, such as event registration, hotel accommodations, streaming sessions, attendee lists, etc. We also use your Personally Identifiable Information to compile lists, directories and databases of attendees, participants, speakers, members, providers, and exhibitors connected to our Services, to match Users, to improve our marketing and promotional efforts, to statistically analyze the use of our website, to improve our Service offerings, and to customize our website’s content, layout, and Services.
When participants complete an entry in the format initiative PITCH & PLAY LIVE to showcase and distinguish original format ideas with international potential at one of our events they submit their materials and an application form. Any personal information that is provided is used only for the purpose of reviewing the PITCH & PLAY LIVE submissions.
When individuals complete a nomination for an award to be granted in one of our events they submit their information and that of the nominee in an application form. Any personal information that is provided is used only for the purpose of reviewing the nomination. The information about the winner will also be published on our own website.
We also use Personally Identifiable Information to deliver information via emails and newsletters to you and to contact you regarding administrative notices. We also use Personally Identifiable Information to resolve disputes, troubleshoot problems and enforce our agreements with you, including our Terms of Use, Copyright Dispute Policy, and this Private Notice.
In addition, we also collect, or our third party ad processor and Google Analytics server collect, some Nonpersonally Identifiable Information. We also use your IP address to diagnose problems with our servers, software, to administer our website and to gather statistical information via Google Analytics. Our third party ad processor will also provide us with summary, but not individual, reports that will tell us how many ads were presented and clicked upon at out site.
We use Personally Identifiable Information to help maintain the security and performance of our website. To deliver this service we log and process the IP addresses of visitors to our website. We use Transport Layer Security (TLS) to encrypt and protect email traffic in line with U.S. government recommendations. If your email service does not support TLS, you should be aware that any emails we send or receive may not be protected in transit.
We also monitor any emails sent to us, including file attachments, for viruses or malicious software. Please be aware that you have a responsibility to ensure that any email you send is within the bounds of the law.
We use a third party providers to manage our social media interactions: Twitter, YouTube, Instagram, Facebook, and LinkedIn. If you send us a message via social media it will be stored by these third-party providers.
When you call our offices we use your Personally Identifiable Information to help improve our efficiency and effectiveness in addressing your request. It will not be shared with any other organizations.
4. Release of Information
We do provide some of our services through contractual arrangements with our Affiliates, services providers, and other third parties. We use your Personally Identifiable Information to operate our website and our Affiliates are only allowed to use the information to deliver Services. For example, we must release your credit card information to a card-issuing bank to confirm payment for Services purchased on this website; we release your address information to the deliverer of any service or product that you ordered; and provide order information to third parties that help us provide customer service.
Occasionally we may be required by law enforcement or judicial authorities to provide Personally Identifiable Information to the appropriate governmental authorities. We will disclose Personally Identifiable Information upon receipt of a court order, subpoena, or to cooperate with a law enforcement investigation. We fully cooperate with law enforcement agencies in identifying those who use our services for illegal activities. We reserve the right to report to law enforcement agencies any activities that we in good faith believe to be unlawful.
We may also provide Nonpersonally Identifiable Information about our customers’ sales, traffic patterns, and related site information to third party advertisers, but these statistics do not include any Personally Identifiable Information.
5. Updating and Correcting Information
We believe you should have the ability to access and edit the Personally Identifiable Information that you have provided to us. You may change any of your Personally Identifiable Information in your account online at any time by linking to your account in accordance with instructions posted elsewhere on this site. We encourage you to promptly update your Personally Identifiable Information if it changes. You may ask to have the information on your account deleted or removed; however, because we keep track of past transactions, we cannot delete information associated with past transactions. In addition, it may be impossible to completely delete your information without some residual information because of backups and archiving for disaster recovery purposes only.
We retain Personally Identifiable Information only for as long as necessary to carry out our Services to attendees, participants, speakers, members, providers, and exhibitors, and in line with our retention schedule. This means that your Personally Identifiable Information will be retained for two years from collection or receipt of your consent. We also retain de-personalized information about businesses and organizations for as long as is necessary to help conduct future actions, but no individuals are identifiable from that data.
6. User Choices on Collection and Use of Information
We may, from time to time, send you information regarding our offerings and services (e.g., account verification, changes/updates to features of the Services, technical and security notice, newsletters). In addition, , we may occasionally send you direct mail or email about products and services from us and our partners that we feel may be of interest to you.
Only NATPE (or agents working on behalf of NATPE and under confidentiality agreements) will send you these direct mailings and emails, and only if you indicated that you consent to these offers. Users are given the opportunity to “opt-in” of having their information collected and used for any of the above purposes. You can also “opt-out” from this consent at any time and from receiving specified types of communications from NATPE by clicking here. NATPE will typically only communicate with you according to your instructions. However, you may not opt out of particular Service-related communications (e.g., account verification, purchase and billing confirmations and reminders, changes/updates to features of the Services, technical and security notices).
If you do not want to receive such mailings in the first place, simply tell us when you give us your personal information at registration either at the event or on our website consent form. Or, at any time, you can easily edit your account information to no longer receive such offers and mailings. You can update your personal information on your NATPE account by clicking here. You also have choices with respect to cookies, as described below. By modifying your browser preferences, you have the choice to accept all cookies, to be notified when a cookie is set, or to reject all cookies. If you choose to reject all cookies some parts of our website may not work properly in your case.
7. Information Sharing
We may provide your information to third parties outside NATPE (or the group of companies of which NATPE is a part) without your consent, except as noted in this Privacy Notice and Terms of Use.
We may share your Personally Identifiable and Nonpersonally Identifiable information (including but not limited to, information from cookies, log files, location data, and usage data) with the Affiliates, or that later become part of the Affiliates. With our prior consent, Affiliates may use this information to help provide, understand, and improve the Services (including by promoting your projects) and Affiliates’ own services (including by providing you with more opportunity for growth of your business). But these Affiliates will honor the choices you make about to whom they will promote your information.
8. Security of Information
At our website you can be assured that your Personally Identifiable Information is secure, consistent with current industry standards. The importance of security for all Personally Identifiable Information associated with our user is of utmost concern to us. Your Personally Identifiable Information is protected in several ways.
Access by you to your Personally Identifiable Information is available through a password and unique user ID selected by you. This password is encrypted. We recommend that you do not divulge your password to anyone. In addition, your Personally Identifiable Information resides on a secure server that only selected NATPE personnel and contractors have access to via password. We encrypt your Personally Identifiable Information and thereby prevent unauthorized parties from viewing such information when it is transmitted to us.
Personal information that you provide that is not Personally Identifiable Information also resides on a secure server and is only accessible via password. Since this information is not accessible from outside NATPE you will not be asked to select a password in order to view or modify such information.
In order to most efficiently serve you, credit card transactions and order fulfillment are handled by established third party banking, processing agents, distribution institutions. They receive the information needed to verify and authorize your credit card or other payment information and to process and ship your order. In order to best promote your businesses and projects, customer list rentals are handled by established third party fulfillment houses. They receive the information about you and your business/projects needed to best promote your business/projects to the individuals and companies on our customer lists.
Unfortunately, no data transmission over the Internet or any wireless network can be guaranteed to be 100% secure. As a result, while we strive to protect your Personally Identifiable Information, you acknowledge that: (a) there are security and privacy limitations of the Internet which are beyond our control; (b) the security, integrity and privacy of any and all information and data exchanged between you and us through this site cannot be guaranteed; and (c) any such information and data may be viewed or tampered with in transit by a third party.
9. Cookies
To make this site work properly, we sometimes place small data files called cookies on your device. Most big websites do this too.
What are cookies?
A cookie is a small text file that a website saves on your computer or mobile device when you visit the site. How to control cookies

10. Job applicants, current and former NATPE employees

What will we do with the information you provide to us?
All of the information you provide during the hiring process will only be used for the purpose of processing your application, or to fulfill legal or regulatory requirements if necessary.
We will not share any of the information you provide during the recruitment process with any third parties for marketing purposes or, in case of employment in the European Economic Area (EEA), transfer any of your information outside of the EEA. The information you provide will be held securely by us and/or our data processors whether the information is in electronic or physical format.
We will use the contact details you provide to us to contact you to progress your application. We will use the other information you provide to assess your suitability for the role you have applied for.
What information do we ask for, and why?
We do not collect more information than we need to fulfill our stated purposes and will not retain it for longer than is necessary. The information we ask for is used to assess your suitability for employment. You don’t have to provide what we ask for but it might affect your application if you don’t.
Application stage
We ask you for your personal details including name and contact details. We will also ask you about your previous experience, education, referrals and for answers to questions relevant to the role you have applied for. Our recruitment team will have access to all of this information.
You will also be asked to provide equal opportunities information. This is not mandatory information – if you don’t provide it, it will not affect your application. This information will not be made available to any staff outside of our recruitment team, including hiring managers, in a way which can identify you. Any information you provide, will be used only to produce and monitor equal opportunities statistics.
Short-listing
Our hiring managers shortlist applications for interview. They will not be provided with your name or contact details or with your equal opportunities information if you have provided it.
Assessments
We might ask you to participate in assessment days; complete tests or occupational personality profile questionnaires; and/or to attend an interview – or a combination of these. Information will be generated by you and by us. For example, you might complete a written test or we might take interview notes. This information is held by NATPE.
If you are unsuccessful at any stage of the process, the information you have provided until that point will be retained for 6 months from the closure of the campaign. We may ask if you would like your details to be retained in our talent pool for a period of six months. If you say yes, we would proactively contact you should any further suitable vacancies arise.
Information generated throughout the assessment process, for example interview notes, is retained by us for 6 months following the closure of the campaign.
Equal opportunities information is retained for 6 months following the closure of the campaign whether you are successful or not. If you are successful, the information you provide during the application process will be retained by us as part of your employee file for the duration of your employment plus 6 years following the end of your employment. This includes your criminal records declaration, fitness to work, records of any security checks and references.
How we make decisions about recruitment?
Final recruitment decisions are made by hiring managers and members of our recruitment team. All of the information gathered during the application process is taken into account. You are able to ask about decisions made about your application by speaking to your contact within our recruitment team or by emailing admin@natpe.org.
Conditional offer
If we make a conditional offer of employment we will ask you for information so that we can carry out pre-employment checks. You must successfully complete pre-employment checks to progress to a final offer. We are required to confirm the identity of our staff, their right to work in the United States and seek assurance as to their trustworthiness, integrity and reliability.
You will therefore be required to provide:
Proof of your identity – you will be asked to attend our office with original documents, we will take copies. Proof of your qualifications – you will be asked to attend our office with original documents, we will take copies. You will be asked to complete a criminal records declaration to declare any convictions. We will contact your referrals, using the details you provide in your application, directly to obtain references. We will also ask you to complete a questionnaire about your health. This is to establish your fitness to work.
If we make a final offer, we will also ask you for the following:
• Bank details – to process salary payments;
• Emergency contact details – so we know who to contact in case you have an emergency at work;
• Membership of a Pension scheme – so we can send you a questionnaire to determine whether you are eligible to re-join your previous scheme.
Our Code of Conduct requires all staff to declare if they have any potential conflicts of interest, or if they are active within a political party. If you complete a declaration, the information will be held on your personnel file.
Use of data processors
Data processors are third parties who provide elements of our recruitment service for us. We have contracts in place with our data processors. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will not share your personal information with any organization apart from us. They will hold it securely and retain it for the period we instruct.

Under the European Union (EU) General Data Protection Regulation (GDPR), you have rights as an individual which you can exercise in relation to the information we hold about you.
Complaints or queries
NATPE tries to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. We would also welcome any suggestions for improving our procedures.
This privacy notice was drafted with brevity and clarity in mind. It does not provide exhaustive detail of all aspects of NATPE’s collection and use of personal information. Access to personal information
NATPE tries to be as open as it can be in terms of giving people access to their personal information. Individuals can find out if we hold any personal information by making a ‘subject access request’ under the GDPR. If we do hold information about you we will:

– tell you who it could be disclosed to; and
– let you have a copy of the information in an intelligible form.

If you agree, we will try to deal with your request informally, for example by providing you with the specific information you need over the telephone.
If we do hold information about you, you can ask us to correct any mistakes by, once again, contacting our Data Privacy Officer.
Disclosure of personal information
In many circumstances we will not disclose personal data without consent. However when we investigate a complaint, for example, we will need to share personal information with the organization concerned and with other relevant bodies.

12. Changes To Our Privacy Notice
We keep our privacy notice under regular review and reserve the right to change it at any time.
