The Coordinator, Events & Marketing is a newly created position to support NATPE, the largest U.S. based year-round based Content Association, through events, services and activities.  As the Coordinator of Events & Marketing, you will be responsible for collaborating with the internal marketing and operations teams in a cross-department function.  Areas of focus will include social media and newsletter marketing as well as event coordination.  NATPE’s marketing team develops and executes a variety of work that translates the company’s objectives into strategic, purposeful solutions.  The Operations team works on all areas of programs including events, activities and organizational elements.  The Coordinator of Events & Marketing will provide insight, guidance and direction by supporting the strategic development and implementation of marketing for the promotion of NATPE year-around programs shepherding projects from idea conception to execution.  

Reporting to the SVP of Operations and the Vice President of Marketing, the Coordinator must interface with all internal departments, meet basic needs and oversee the work of outside vendors and suppliers. 

Job Function/Duties:
Social media oversight including channels development, campaign deployment (including but not limited to) – Facebook, LinkedIn, Instagram, Twitter as well as conference on-site Social Teams leader
Social media “teams” on site during conferences – oversight and management of leading up to, during and post conference.
Coordinate, communicate and oversee deployment of company App with developer for Conference attendees with a monetization strategy relative to sponsorship opportunities.  Creating all Sales team’s sponsored promoted posts. Import and integrate all content/programming information into App.  Coordinate App social timeline.  Update all location information for App.
Coordinate and oversee NATPE newsletter (weekly) and (bespoke) e-blast communications including aggregating elements, writing, minor design and campaign tracking and deployment
Coordinate Staff Travel and Housing for assigned events
Coordinate and Execute internal staff events such as sales retreats, Department Head retreats
Invitation & RSVP list organization, updates and management for various events
Maintain company ‘Shared Calendar’ for Marketing & Operations department and assist other departments accordingly
Liaison with Educational Foundation for key information and core outreach
Salesforce integration for Newsletter, Email and Social relative to database requirements
NATPEWORD blog strategy and ongoing development and deployment
Maintain communications with NATPE Educational Foundation for interns and student management 
Deploy location-based beacon during conferences including supplier management
Maintain and deploy text Help with filling sessions in Miami with attendee notifications 
Writing all copy for Sales team sponsored notifications
Award show trophy process management & delivery responsibilities
Managing Membership Email
Managing lists and RSVP’s of members and potential members
Synchronize membership with other team members 
Work on site during NATPE MIAMI (January), pending requirements
Package & ship of our core supplies during conference window
Support other departments with statistical information relative to the above listed responsibilities
Work with all departments seamlessly and communicate ongoing status of projects
Invoice submission and follow up to ensure prompt supplier payments
Administrative work – Scheduling, Booking Travel, Expense Reports, etc.
Manage Staff badges for assigned events
Vendor contract and proposal tracking
Hotel and Vendor liaison
All other Marketing & Operations duties as assigned

2 - 3 years’ experience in the media/event industry
Bachelor of Arts or Sciences (Communications or Business)
Strong writing and editing abilities
Trade show and conference operations
Excellent customer service skills
Excellent verbal communication skills
Extremely detailed oriented and organized
Proficiency in Microsoft Office suite: Outlook, Excel, Word and PowerPoint
Social Media proficiency is required
Working knowledge of Salesforce and data tools strongly recommended
Comfortable with substantial input into above functions from multiple departments

The selected EA to the President and CEO will be a multi-faceted, highly-organized and extremely resourceful go-getter that craves challenges, wearing multiple hats and personal growth. Above just about anything, interface with the majority of NATPE team and NATPE board members. The EA to the President and CEO, must be a phenomenal communicator, demonstrate a high level of emotional-intelligence, and be able to convey the CEO’s desired message effectively.  The EA to The President and CEO will need to be an excellent writer and must be able to communicate directly and honesty while also being compassionate and empathetic. 

Being flexible and willing to perform varying duties depending on the shifting needs of the company and its staff members
Participates in program management, which involves duties on a weekly, monthly, and quarterly basis
Within program management, organizes and gathers information from various departments and meetings to report that information, along with recommendations, to executives 
Participates in strategic initiatives by leading them and reporting results back to the CEO
Within strategic initiatives, demonstrates flexibility because some initiatives may not fit neatly into one of the company's departments
Help NATPE team of executive support staff to perform their duties to the best of their ability
Organizes two annual board meetings a year 
Works closely with the NATPE board member and executive assistants
Carries out other duties as necessary, which may include simple tasks such as filing, office clean up, and making phone calls
Organizes a calendar and keeps track of multiple projects at the same time
Scheduling meetings for CEO with top industry leaders 
Managing VIP dinners and RSVP’s at NATPE Miami and Budapest
Travel arrangements & expenses for Executives
Keeps up with industry trends by reading literature and communicating with peers
Acts as a representative of the President and CEO
Being discrete and keeping confidential information abreast.
